President's Report No 33
 
Monday 19th February 2018
It was great to welcome a prospective new member, Ben Featherstone, on Monday night and also good to see Gail Chrisfield and Lloyd James back at meetings.

We had an interesting talk by Ron Medson on the history of International Harvester, an industrial giant that used to be very important company in the Geelong area.
Greg demonstrated “Whoozin” which will be our new email RSVP system. Greg has sent out the next four meetings for response so if anyone is going away you can let us know in advance. Please make sure you respond each week! If you fail to respond, you will not get a meal. If you have any difficulty using it please contact Greg Plumridge.
A reminder that on Sunday 4th March a Rotary Expo will be held at the Waterfront Market in Geelong to promote all clubs in our region. Gaynor, Lesley and John Oswald will be on morning duty but all are welcome to visit.
BBQs on 11 March and Good Friday have been cancelled. Easter Saturday and Sunday BBQs will now be at Bunnings, NOT Baines Court, so a few more volunteers were requested.
The Motor Show committee will hold their de-brief meeting on 6th March. Members are asked to provide any feedback they may have regarding the Motor Show to Greg Plumridge before this date.
Some Points from the Board Meeting
  • Mid-year Book Fair: It was decided to hold another Book Fair on Queens’ Birthday long weekend - June 9, 10 & 11 (unpacking on Friday 8th June) so volunteers will be sought. The reason for this is to empty the storage shed in Geelong which is costing us $230 per month. Garth Hammonds has kindly agreed to coordinate this event, with assistance from Rhonda.
  • Lifeline: We will donate $1000 to Lifeline Breakwater as they contributed thousands of books to us. Matthew Richardson from Lifeline will attend our meeting on Monday 26th Feb.
  • Lorne VCAL: We will donate $1000 to Lorne VCAL to help students get to Alice Springs where they will meet Aboriginal students from St Teresa for a cultural exchange experience. Members from this group will talk to us about this program at a future meeting.
  • Relay for Life: The Rotary Club of Torquay have a team walking at Relay for Life on 16/17 March. We are meant to be raising funds but the club will add $1000 to this team’s efforts. If you would like to participate please contact Graham Gill.
  • The Strathewan Beach Day: is planned for Monday 26th March. Gail Chrisfield is the coordinator and volunteers will be required to help out and provide the food.
  • Probus: The new Probus club of Torquay/Jan Juc is up and running. If anyone in interested the March meeting will be the last opportunity to become a founding member. Contact Gerard McNamara if you want more information.

Relay for Life March 16th 2018
 
I realise it seems like a long way off at the moment but it will only be 11 weeks after Christmas, I thought I'd get in early so that you all have plenty of time to register for our Rotary Relay Team

Revised BBQ Dates extra volunteers needed.


 

 

We have been offered some additional dates for Bunnings BBQ's, including this Sunday on very short notice, so there will be some changes anyway our next event will be

  1. There will be NO BBQ on Good Friday so perhaps those people could help with the extra shifts on the Sat & Sun (see point 4 below)
  2. Strathewen Primary School Beach Visit on Monday March 26th
  3. Those Rostered on for Easter Sat 31st March and Sunday 1st April will now be at Bunnings NOT Baines Cres PLUS we will need 3 more volunteers for each day to cover the longer hours with split shifts.
  4. Cowrie Market 15th April (same day as Ride the Bellarine)

 

so please let Mal know if you can help with the extra shifts over Easter and as we get closer to the dates keep a close watch on the Roster to see when you are on.

Combined Geelong Rotary Clubs Expo
On Sunday 4th March our Club will be participating in an Rotary Expo to be held as per the flyer below.
 
The purpose of this event is to promote the work of Rotary Clubs across Greater Geelong, Bellarine and the Surfcoast.  We have booked two stall spaces to set up displays. We intend to promote the wonderful projects and organisations we support by conducting a meet and greet at one of Geelong’s busiest public markets. Clubs who have indicated that they are able to be present on the day are asked to provide a minimum of three people to cover the time slots listed below.
  • Stall are open for setup is between 7:30am – 9:00am. We will begin our set up at 8.30am.
  • Hours of the market are from 10am to 3pm
  • Pack up is between 3:00pm – 4:00pm
     
    We are arranging for the printing of a whole of Geelong flyer listing all clubs and a selection of Rotary International projects to hand out on the day. We will also have video displays and other Rotary promotional materials for people to view.
  • Clubs are also invited to bring their own P.R materials to promote key projects during their rostered time. These materials may be taken away at the completion of your time slot.
  • It would be great to be able to provide a selection of Rotary Downunder magazines for people to take away if they are interested. Clubs may need to ask members to collect these prior to the day.
  • Torquay will be represented by Gaynor, Lesley and John Oswald who will be on duty from 9-11am

Ride the Bellarine Registrations are Now Open

Brian Mynott has again registered to participate in this years Ride and will be our Club's representative in the Ride. We will commence a sponsorship program to support Brian in coming weeks. Awesome job Brian.

 

 

Ride the Bellarine is a District Fundraising Event, run by the 15 combined Rotary Clubs of Geelong.  This event, now in its 4th year, raises funds to support the End Polio Now Campaign.

VERY IMPORTANT - Whoozin The New Weekly Meeting Book-in System 
 

Commencing next week we will be launching a new system for registering for our weekly dinner meetings. Called Whoozin, this program is used by other local Rotary Clubs with great success. Our Board has been trialling the program for some months and have found it extremely easy to use and will make our Caterers job much easier as they will be able to track Check-ins progressively in the lead up to meetings to allow them to plan in advance the menu and purchasing of ingredients.
 
The system will be presented to the Club this Monday night 19th Feb with an interactive demonstration. However to make it easy for everyone who will not be present Monday Night as well as to provide a reference resource for everyone, we have prepared a Whoozin User Manual which is stored on Clubrunner under "Club Documents" that you will be able to print off if you wish.
 
In Summary the way it will work is:-
  • You will receive an initial email invitation each Monday for the following week's meeting.
  • You can immediately accept or decline, leave until later.
  • You will receive a reminder email on the Friday Prior
  • You will have until Midnight Sunday to register your RSVP and can change your decision right up until the closing time.
  • You can register up to 5 guests
  • You can specify any Special Dietary requirements
  • Please Note that if you do not register your intentions you will be charged for the dinner fee.

Dinner Meeting Registration & Apologies

MEETING APOLOGIES - What do I do?

Notifying someone about changes to your meeting attendance is your responsibility!
 
Our meetings have catered dinners, so if you are unable to attend a meeting, or if your partner is unable
to attend a designated Partner's Night, YOU MUST ADVISE us of your or your partner’s absence. 
This also applies if you are attending the meeting but not dining.
 
How to Book in for our Dinner Meeting?
For Members, Partners and guests of Members
  • you will receive email invitations to each meeting via Whoozin.
  • It will be your responsibility to RSVP using Whoozin by Midnight on the day prior to the meeting.
  • The only exception to this will be if you are expecting to be out of internet connectivity for an extended period. 
  • In this instance you can notify Richard Mierzejewski at LET Surfcoast on 03-5261 2777 by 4.00pm on the Saturday prior to the Monday Meeting.
  • Please Note there is NO Answering Service on this number.
  • Remember if you are bringing guests or your partner (to a non-partner night) you need to RSVP for the extra number of person/s who will be attending.
  • If no RSVP is registered as per the above process, the absentee member will be issued with an invoice to pay the Club the usual dinner fee of $25 for your non-attendance, and/or that of your partner if it is an official Partner's Night.
For Visitors to the Club
  • Any Visitors not being registered as a guest of a Member must call Richard Mierzejewski at LET Surfcoast on 03-5261 2777 to Book in.  RSVP's must be made no later than 4.00PM on the Saturday  prior to the Meeting
  • Please Note there is NO Answering Service on this number.
